SmartNoteAI is an application developed by Cybrainx for note capture, organization, AI-assisted summaries, and productivity support. This Privacy Policy explains what information we collect, how we use it, which third-party services are involved, and what choices you have as a user.

SmartNoteAI is designed to be privacy-conscious and local-first whenever possible. However, certain features require account creation, cloud services, analytics, authentication, or AI processing to function correctly.

The app is developed and distributed in a manner intended to align with the privacy, security, and data-handling requirements of Google Play and the Apple App Store, including applicable platform policies for app developers.

1. What information we collect

We may collect information that you provide directly, information generated when you use the app, and information automatically collected by our services and third-party providers.

• Account and authentication data: email address, display name, authentication provider, and technical identifiers needed for login and account management.
• App content: notes, captured text, images, tags, categories, summaries, AI prompts, generated outputs, and other user-generated content you choose to save.
• Device and usage data: device model, operating system version, app version, crash reports, performance data, language settings, feature usage, and diagnostic information.
• Advertising and analytics data: information related to ad display, ad interaction, analytics events, campaign performance, and aggregated usage statistics.

2. How we use your information

We use the information collected to provide and improve the app, including the following purposes:

• to create and manage your account and authentication session;
• to store, organize, and retrieve your notes and app content;
• to provide AI-assisted features such as summarization, organization, and capture support;
• to improve reliability, performance, and user experience;

• to show advertisements where applicable and measure ad performance;

3. Third-party services we use

SmartNoteAI uses several third-party services to operate the app securely and effectively. These services may process certain data on our behalf under appropriate contractual and security safeguards.

• AdMob: used for serving advertisements and measuring ad performance.
• Firebase: used for authentication, app infrastructure, and related backend services.
• Google Analytics: used to understand app usage trends and improve the product.
• Google Cloud: used as part of the hosting and infrastructure stack supporting app services.
• Cloudflare Workers: used to run server-side logic and support certain app workflows in a performant and scalable environment.
• OpenRouter API: used inside the Cloudflare Worker for AI-related request processing when a user requests AI-powered functionality.

These providers may receive the minimum information necessary to perform their functions, such as identifiers, technical data, request metadata, or content submitted through AI features.

4. AI processing and user content

Some SmartNoteAI features may send selected content to an AI service for processing. When you use these features, the content you choose to submit may be transmitted to the relevant service provider for the purpose of generating the requested output.

You are responsible for reviewing any content you submit and avoiding the sending of sensitive or confidential information that you do not want processed by third-party AI services. We recommend not uploading unnecessary private or regulated information unless you are comfortable with the processing model described here.

5. Data sharing and disclosure

We do not sell personal information in the ordinary sense of a customer list sale. We may share information only as necessary to operate the service, provide support, comply with legal obligations, or protect the rights and safety of users and the service.

Information may be shared with service providers such as AdMob, Firebase, Google Analytics, Google Cloud, Cloudflare, and OpenRouter-based AI processing endpoints, as described above. We may also disclose data when required by law, court order, or valid legal process.

6. Data retention and deletion

We retain personal data for as long as is reasonably necessary to provide the service, maintain your account, resolve disputes, enforce agreements, and comply with legal obligations. If you delete your account or request deletion of your data, we will take reasonable steps to remove or anonymize the information where possible.

Please note that some data may remain in backup, log, or analytical systems for a limited period even after account removal, where retention is required for security, legal compliance, or operational continuity.

7. Your choices and rights

Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, or object to the processing of your personal data. You may also manage certain privacy settings in the app or through your device settings.

• you may choose whether to create an account or use the app in a limited mode;

8. Children’s privacy

SmartNoteAI is not intended for children under the minimum age required by applicable law or platform policies. We do not knowingly collect personal information from children without appropriate consent from a parent or guardian.

We use reasonable technical and organizational safeguards to protect information. However, no method of transmission or storage is completely secure, and you acknowledge that the internet and cloud-based services may be subject to risks outside of our control.

10. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in the app, law, or technology. When changes are material, we will publish the updated version with a revised effective date.
